Introduction
Inter-Drinks, a beverage distribution company, wanted to automate several data entry processes to reduce manual tasks and improve data reliability. The goal was twofold: to save valuable time on recurring operations and to minimize human error in the management processes.
Challenges
The main challenge was to process data from multiple sources (WooCommerce, partners via Excel, banks with different file formats depending on the institution) and centralize it in FileMaker. Each import format had its own column structure and constraints. A robust logic was needed to adapt to these variations while maintaining a smooth experience for internal users.
Solutions
JAK Solutions developed a series of custom modules in FileMaker to automate data import:
- Excel export with optimized formatting
- Bank import with automatic line matching
- Automated WooCommerce order import via API
- Integration of Excel files from partners such as Choco, Grainz, and Growzer
A modular architecture was implemented, with temporary tables to secure the imports, automatic summary systems, and a clear, intuitive user interface.
Impact
Inter-Drinks operators were able to eliminate numerous repetitive manual tasks. Data integration became faster, more reliable, and more transparent. The time saved on data entry was reinvested into higher value-added activities, while reinforcing the overall reliability of the FileMaker-based system.
